Privacy Policy
How Quentosity Limited collects, uses and looks after personal information, including the information you send us through this website.
Your privacy matters
Last updated: 12 October 2026.
When you get in touch with Quentosity, you are trusting us with your information. We do not take that lightly.
- We collect only what we need to answer your enquiry and run our business.
- We never sell your personal information.
- We use reputable service providers to store and deliver information for us.
- We keep personal information only for as long as we reasonably need it.
- You can ask what we hold about you, and ask us to correct it.
This policy explains what we collect, how we use it, who we share it with, and the choices you have. We handle personal information in line with the New Zealand Privacy Act 2020.
Who we are, and what this policy covers
"We", "us" and "our" mean Quentosity Limited, a New Zealand company based in Tauranga. Our company number is 3919292 and our NZBN is 9429030586215.
Our Privacy Officer is Michelle. You can contact her at info@quentosity.co.nz.
This policy covers how we handle personal information in three areas:
- enquiries and correspondence you send us through this website;
- other business correspondence with us, by email, phone or in person; and
- our client relationships, and the records we keep about the work we do for you.
It does not cover the Quentosity Group website at quentositygroup.co.nz, which is a separate site with its own practices, or websites we link to that are run by other people.
Our Terms of Trade set out additional contractual obligations that apply to the services we provide. They add to this policy, and they do not reduce, remove or override any protection you have under the Privacy Act 2020.
What we collect
Through the enquiry form, we collect:
- your name, your email address and your message, which we need so we can reply to you; and
- if you choose to provide them, your company name, your phone number and the area of interest you select.
In other correspondence, we collect whatever you choose to tell us when you contact us by email, phone or in person, including your business contact details and the content of what we discuss.
As a client, we hold contact, project, service and billing information we need to provide and support the services you engage us for, including the details recorded in your agreements, quotes and invoices.
Automatically, the fonts on this website are served from the site itself. We do not run advertising, tracking pixels or third party analytics on this website, and we do not set advertising or tracking cookies. The platform that hosts the site may set a strictly necessary cookie so the site stays secure and working, and may keep ordinary server logs. We do not collect payment card details through this website.
How we use your enquiry
We use the information you send us to:
- reply to you and answer your questions;
- work out whether and how we can help, and prepare quotes or proposals;
- keep a record of our communications and decisions;
- record your enquiry in our sales system so the team can follow it up and track it;
- use an AI-assisted tool to help us with enquiries. It may check that an enquiry appears genuine, recognise that you are already a client, and create or link your enquiry with the right opportunity in our sales system where it is confident enough to do so. Where it is not confident, the enquiry is referred to a person to review;
- keep the website secure and working properly; and
- meet our legal, tax and record-keeping obligations.
The AI-assisted tool helps us sort and record enquiries. It does not decide whether we take on work: that is our decision.
We do not sell your personal information, and we do not share it for other organisations to market their own products.
How your enquiry reaches us
When you send the form, your enquiry is recorded in our enquiry database, which is held on the platform that runs this website. The website is set up to notify our team by email at leads@quentositygroup.co.nz, using Mandrill, part of Mailchimp, as our transactional email service. Sales correspondence at that address is forwarded into Productive, our sales and project system, where your enquiry is tracked so we can follow it up.
Who we share it with
We share personal information only with the service providers who help us run our business, and only so they can provide their services to us:
- Microsoft, which provides our email service, Microsoft 365;
- Base44, the platform that hosts this website and holds our enquiry database;
- Mandrill (Mailchimp), our transactional email service for website enquiry notifications;
- Productive, our sales and project system, where enquiries are tracked;
- the AI-assisted tooling that helps us sort and record enquiries, which runs as part of the platform above;
- our IT support providers, where they are needed to keep our systems running; and
- our professional advisers, such as our accountant or lawyer, where necessary.
We also disclose information where we are required to by law, or where disclosure is necessary to prevent or lessen a serious threat to someone's safety.
Some of these providers operate outside New Zealand, so your information may be processed or stored overseas. Where that happens, we take reasonable steps to make sure the provider is subject to privacy safeguards comparable to those in the Privacy Act 2020.
How long we keep it
Website enquiry records. We keep website enquiry records only for as long as we reasonably need them for the purpose we collected them, for our business relationship with you, for our legitimate record-keeping requirements, or to meet a legal obligation. We review the records we hold, and securely delete or de-identify information once it is no longer required.
Sales and client correspondence. An enquiry that becomes part of an ongoing sales or client relationship becomes part of those business records, and is kept on the basis above rather than as a website enquiry. That includes the email in our Microsoft 365 mailboxes and the opportunity in Productive. We keep those records for as long as we need them for the relationship, and afterwards for as long as our legal, tax and dispute obligations require.
Copies. Deleting a record or a message does not necessarily remove every copy of it. Copies may remain for a time in a provider's own history, in a mailbox recovery area, in a backup, or in a copy held on a device or in another application. Where we must preserve information, for example in relation to a dispute or a legal obligation, we keep it for as long as that requirement applies.
Keeping information safe
This website is served over an encrypted connection. Enquiries are validated on our server before they are accepted, and stored in the enquiry database described above. Access to enquiry records, and to the mailboxes and systems that receive them, is limited to authorised team members. Our providers are responsible for the security of the systems they run for us. No online system can guarantee absolute security, and we do not claim otherwise.
Marketing communications, and how to stop them
We keep the emails that run our work separate from the emails that promote us.
If you are a client, we email you about work in hand, invoices, maintenance, security matters and changes affecting your services. Those messages are part of delivering what you have engaged us for, so they do not carry an unsubscribe link. You can still ask us to reduce or stop them.
We send promotional emails, such as newsletters or information about services you have not bought from us, only to existing clients and to people who have opted in to hear from us.
Sending us a website enquiry does not subscribe you to anything, and you will not be added to a marketing list because you got in touch.
Every promotional email identifies Quentosity Limited as the sender and includes a working unsubscribe function, which we action within five working days. If you unsubscribe, we will not add you back.
Your rights: access and correction
Under the Privacy Act 2020 you can ask whether we hold personal information about you and ask for a copy of it, ask us to correct information you believe is inaccurate, and ask us to stop sending you promotional marketing.
We will respond as soon as we reasonably can, and no later than 20 working days. We may need to confirm your identity first. In a limited number of situations the Act allows us to withhold information; if that happens, we will tell you why.
To make a request, contact our Privacy Officer, Michelle, at info@quentosity.co.nz.
If something goes wrong
If we have a privacy breach that has caused, or is likely to cause, serious harm, we will notify the Office of the Privacy Commissioner and the affected people, as the Privacy Act 2020 requires.
Complaints and contact
If you have a concern about how we have handled your information, please contact our Privacy Officer, Michelle, at info@quentosity.co.nz first, so we have a chance to put it right. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz, or on 0800 803 909.
Changes to this policy
We may update this policy. We will always publish the current version on this page, with the date it was last updated. If a change is significant, we will make that clear.
